Board of Directors Meeting
March 3, 2009.
Licht residence
 
Board members present: Donna Crossman, Loren Gettelman, Sheri Haviza, Roger Houk, Jane Licht, Nancy Nelson, Myrna Rhinehart, Tom Smiley.
 
Meeting was called to order by President Donna Crossman at 7:25 p.m. Donna welcomed new board members Sheri Haviza and Nancy Nelson.
 
Nancy gave the Treasurer’s Report. She just received the Treasurer’s materials from outgoing Treasurer, Marilyn Radtke. $1596 was deposited, which consisted of dues, proceeds from the silent auction, guest memberships, and sales of anniversary pins and a safety manual. We need to send in $60 for ADS club dues renewal. We also need to get our insurance renewal sent in. Roger Houk moved to accept the Treasurer’s Report, Tom Smiley 2nd. MC.
 
Secretary’s Report: Jane told of her addition to the Feb. meeting minutes to include the website fees. Jane Licht moved to approve the board minutes with changes and the annual meeting minutes, Sheri Haviza 2nd. MC.
 
 
Old Business:
 
Newsletter/Website: Jane Licht reported that she has completed sidebar updates, including notice of Young Drivers Camp committee meetings and updated classifieds. She updated 2009 Board members, updated other 2008 pages for 2009. She hadn’t put in trail drives, since they hadn’t been approved yet. She got an updated e-mail list and set up passwords for E-Newsletter and Web directory. The website should include a disclaimer so that members do not spam other members with advertisements, et al. The newsletter is ready to go. She needs a Young Drivers Camp article, and Jane is finishing the Sheri Haviza article and Donna’s President letter. The issue will include Annual meeting minutes, new DDC website, the Coachman online, bylaws and fees, pleasure drives, and other items. We need to see if we can fit the Three Gaits thank you in the newsletter.
 
Midwest Horse Fair booth: Contract has been signed and mailed, and fees have been paid. Loren reported that Marge is getting volunteers. The theme this year is proper driving attire. Booth number is Non Profit 12 in the Coliseum. 
 
Young Drivers Camp – Plans are progressing with an active committee. We have received about 8 inquiries for information from kids and parents. We could use a few more host families. Volunteers for the weekend are necessary for a number of different jobs. Loren will be available to help. Smileys can host two kids. 
 
 
New Business:
 
Drives: Roger presented a tentative schedule. Two of the drives have been confirmed: April 26th at Old World Wisconsin in Eagle on the weekend before it opens, and May 17th at Blackhawk Ridge around Sauk City. Other tentative drives are Aug 16th at Menominee Park in Lannon/Sussex area, Sept 12th at Wyatts Bunkhouse, Ugly Horse Ranch in Palmyra, and  Oct. 4, Walking Iron Park in Mazomanie. Oct. 3-4 will be Anding’s Plow Days, near Arena (not a DDC event, but everyone is invited). Jane moved that the proposed list of drives by Roger and Tom be approved. Donna 2nd. MC.
Roger reported on the Good Neighbor Trail, a 14 mile multi-use trail, being planned from Middleton to Mazomanie. There is a grant from the Wis. State Horse Council to work on it. Roger was asked for a letter of support for the planning.
Members are asked to please send copies of negative Coggins/EIA tests of horses that will be at the drives to Donna Crossman. Members may bring “green” horses to drives for training, as long as they use safe practices. Green horses don’t have to been driven to participate in drives, as all experiences are training for the horse. Safety for the horses and participants is our #1 concern. 
 
DDC Directory and Membership: Donna asked if we need a membership committee to encourage new members to come to events and send out postcard reminders. Jane suggested Sheri and Nancy be part of committee and they brainstorm ideas for the committee. Will send out an email to membership to maybe pick up renewals. A Mentor Program was also suggested.
 
Length of terms of office: Since we have changed the terms of office to two years, right now we have everyone on the same length of service. Donna asked for adjustments for half the board to have one-year terms and the other half to have two-year terms, so that the terms are staggered. Jane moved that Roger, Loren, Sheri, Nancy have two year terms, and Jane, Donna, Tom, Myrna have one year terms left. Tom 2nd. MC.
 
2010 clinic: This clinic would be geared towards experienced drivers and hosted exclusively by DDC event. Susie Koos-Acker talked with Jeff Morse about giving a clinic. Donna told of his expense requirements. He will be at the Midwest Horse Fair this year, so members will observe his presentations. Other suggestions for clinicians can be made. Debbie Banfield, Muffy Seaton, Andy Marcoux, and Robin Groves were also suggested. Donna will contact clinicians.
 
Tom moved to adjourn the meeting at 9:35 p.m. Loren 2nd. The next meeting will be at Licht’s in McFarland on Tuesday, May 5 at 6:00 p.m. Sheri will bring a main dish. Tom will bring dessert.
